Direct Data Entry (DDE)
The Direct Data Entry (DDE) System is an online application that will allow direct online access to your Medicare claims. Some features of the DDE system are:
- Claim Entry
- Medicare Eligibility Inquiries Common Working File (CWF)
- Error Correction
- Claim Status
- Claim Adjustments
- Roster Billing (Flu/Pneumococcal Pneumonia Vaccine)
Steps for Obtaining Access to the DDE System
Step 1: Establish a Connection
The following are three CMS-approved vendors that WPS Medicare providers may elect for connectivity to DDE. WPS Medicare does not recommend one option over the other.

Step 2: Complete the Required Forms
EDI Enrollment form ![]()
The EDI Enrollment form must be completed in order to request access to DDE system. Providers who have a signed EDI Enrollment Form on file are not required to submit a new EDI Enrollment Form.

The DDE and Third Party DDE Access Request forms must be completed for the following request types:
- New User ID - Select this option if the user is requesting a User ID for the first time. It is the responsibility of the authorized signer to verify that the user does not already have an ID with a previous employer or contractor before submitting a request for a new ID. If the user has an ID with another contractor, complete section three for adding access to a User ID established through another contractor.
- Name Change - Select this option to change a user's last name due to marriage, divorce, or to correct the spelling of a name.
- Re-activate User ID - This option is to request reactivation of a User ID that has been deactivated after 60 days of non-usage. The ID can only be reactivated for the person the ID was originally assigned to.
- Add PTAN number to a User or Machine ID - Select this option to add additional PTAN numbers to an existing User or Machine ID.
- Change access - This option is to change a user's DDE access to full or view
- Machine ID - Select this option if a machine is used for claim status or to check eligibility inquiry on the Common Working File (CWF). A six character machine ID and a non-expiring password will be assigned. WPS does not support the set-up of a Machine ID.
- Terminate User ID - Complete this section to terminate a User ID that is no longer needed.
- Remove PTAN number from User ID - Select this option if a user no longer needs access to a PTAN number but still needs the ID to access other PTAN numbers.
- Add WPS Zones - This option is to add the Eastern, Central, Mountain or Pacific Zone to an existing User or Machine ID.
- Add Access to a User ID established through another Contractor - Select this option to add a legacy PTAN to the User ID, if the user currently has a User ID through the WPS J5 MAC or another contractor that uses HP for their data center. You will need to contact your connectivity vendor to add the WPS legacy application to your menu.

User Access Recertification
As an additional security requirement, providers must recertify all active User and/or Machine IDs on an annual basis.
Notification will be sent to providers requesting that they recertify the User and/or Machine ID used to access to the DDE system.
If the provider fails to recertify the User and/or Machine ID by the due date listed on the notification, access to the DDE System will be suspended.
If a User and/or Machine ID is suspended, the provider will need to respond to the notification to have the ID unsuspended.
